Using Time Logger on a Network

Responsive Time Logger® works on Windows® networks. You can test how well Responsive Time Logger works on your network by downloading the FREE Trial (Demo) version. and installing it on your network using one of the network installation options described below. NOTE: Responsive Time Logger can also be installed and setup to be run using Windows Terminal Server.

Overview - Installing Time Logger on a Network

You have two options for installing Time Logger in a multi-user environment so that all users are able to store their time records and common data in a set of common databases:

  • Option 1: Install Time Logger only on a network drive, and have each user load/run the program and access the data from that server.

  • Option 2: Install a local copy of Time Logger to run on each user's workstation (computer) and each user accesses the data from the server.

In either case, you need these two installation files:

setuptimelogger.exe - the installer that sets up a complete installation of Responsive Time Logger on either a server drive or a local computer.

setupuser.exe - the installer that connects each user to the network server where Time Logger's central databases are located. Be sure to put this file in the folder where Time Logger is installed on the server and run it at each user's computer.

Which option is best for you depends on the characteristics of your network system and users. Option 1 is simplest, because you only have one installation of Time Logger to maintain, but it can be the slowest to start. Option 2 takes a little more effort to set up but runs the fastest. 

These directions are for first-time installation of the latest release of Responsive Time Logger. For re-installing onto a network where Responsive Time Logger is already installed and other multi-user issues and questions, please see the Frequently Asked Questions section for "Multi-User/Network Installation and Setup".

Option 1: Responsive Time Logger on Network Server Only

Summary: You install one central copy of Responsive Time Logger (run setuptimelogger.exe) on your server on a drive and folder that all users have access to. Both the application and database reside on the network server and all users connect to it. Then you put a copy of setupuser.exe into the folder where you installed Time Logger. Then for each user, sitting at their workstation, you execute the copy of setupuser.exe stored on the server in the folder where Time Logger is installed. You will need the appropriate Administrator rights to perform all steps of the installation.

    Step 1 is only done once.

  1. Click to download and run setuptimelogger.exe and install it to a drive and folder that all users will have access to.

    NOTES:
    1) Users will need create, and modify privileges for this folder. They may also need delete privileges if you want them to be able to manage their own Environments and other files.
    2) You will need full Administrator rights to perform the installation.
    3) You do not need to install the Responsive Time Logger Palm Interface. Rather, install this on each user's computer with setuptimelogger.exe. If multiple users will be HotSyncing to the same time records database file, see: HotSyncing in a Multi-User Setting.
    4) You may use either a standard drive letter mapping (K:, M:, T:, etc.) or UNC syntax to name the location where Time Logger is installed (such as: T:\timelog or \\serverABC\applications\timelog).

  2. Step 2 thru 6 is done once for each user.

  3. At each user's workstation, use Windows Explorer to navigate to the drive and folder where Time Logger is installed and run setupuser.exe.
  4. On the 3rd screen "Choices" of the setupuser.exe installation program:
    • Type the user's name in the Name: field (the user will log in with this name and the Person field on their time records will contain this same name.)
    • select the first radio button: "...from the network drive (Option 1 - both the data and the application are on the server)"
    • optionally, check the option "Add a shortcut to Time Logger to the user's desktop" for their convenience.
  5. Finish setupuser.exe and start Responsive Time Logger using the shortcut on the user's desktop.
  6. Select File/Open and open the existing time records database for your company.

    NOTE: The first time you run Time Logger for the first user, you will need to select File/New and create a new time records database for your company. We suggest you name it something like "MyCompany_time_records.mdb". Thereafter, use this same file for step 5.
  7. Close Time Logger, go to the next user's workstation and start at step 2 above.

    Step 7- is done as needed and effects all users.

Option 2: Responsive Time Logger on Network Server and Users' Workstations

Summary: You install one central copy of Responsive Time Logger (run setuptimelogger.exe) on your server to drive and folder that all users have access to. Note that only the databases and settings will be used on the server, not the application. Then you put a copy of setupuser.exe into the folder where you installed Time Logger. Then for each user, sitting at their workstation, you execute setuptimelogger.exe to install the application files (the local databases and settings will not be used) and run the copy of setupuser.exe stored on the server in the folder where Time Logger is installed to configure this local copy of Time Logger to connect to the network server for all of the databases and settings. You will need the appropriate Administrator rights to perform all steps of the installation.

    Step 1 is only done once.

  1. Click to download and run setuptimelogger.exe and install it to a drive and folder that all users will have access to. This can be done from any computer where the user has Administrator rights.

    NOTES:

  6. On the 4th screen "Local Time Logger Folder" select the local folder where you just installed Responsive Time Logger on this workstation.
  7. Finish setupuser.exe and start Responsive Time Logger using the shortcut on the user's desktop.
  8. Select File/Open and open the existing time records database for your company.

    NOTE: The first time you run Time Logger for the first user, you will need to select File/New and create a new time records database for your company. We suggest you name it something like "MyCompany_time_records.mdb". Thereafter, use this same file for step 7.
  9. Close Time Logger, go to the next user's workstation and start at step 2 above.

    Step 9- is done as needed and effects all users.

Activating Your Multi-User Site License

In the email you received after completing your purchase, you should find this registration information:

Registration Code: XXXXXXX

Company Code: XXXXXX

License Number: XXXXXX

When you first run Time Logger for the first user, it will ask you for your Registration Code. After you start Time Logger for the second user (and all subsequent users until you have completed the registration), it will display a "Site License Discrepancy" window, and allow you to complete your multi-user registration.  Enter your Company Code and License Number and then click the Register button.

NOTE: You may click the Trial button to continue to use Time Logger in a multi-user mode on a trial basis. Or, you may remove extra users who are no longer needed. See Frequently Asked Questions section for "Multi-User/Network Installation and Setup" for help with managing your users.
